Case Study: Grinners Catering

Following the successful implementation of the Grinners Catering Online Quoting system, Grinners Catering Australia Pty Ltd asked Solutions Outsourced about the possible benefits of rolling the system out to their nationwide franchisees.


Grinners Catering already utilised a traditional software solution that, while functional, still required manual, long distance updates. It was also difficult to monitor remotely.

The new quoting system had to overcome the limitations of traditional software by adapting quickly and easily to continuously changing market conditions. The system also had to permit the addition of new franchisees over time with initial sample data to get a new franchisee up and running quickly.

Solutions Outsourced redeveloped the initial web-based quoting system into a fully-fledged nationwide quoting system. Each franchisee uses a common system that is quick to deploy and keeps training costs low. As new features are added to the system, each franchisee immediately enjoys the benefit of those features without needing to install any new software.

The system is now known as I.M.A.C.S - Intranet Marketing and Communications System.

Grinners Catering is now a firm advocate of the value of web applications to fran chising. It now takes less than 14 days to get a new franchisee up and running with a full suite of data ready for their territory. Franchisees can view other franchises menus and newsletters for ideas, and the Master Franchisor can monitor activity within the system.

Newsmacs

A newsletter marketing system that targets specific customer categories, tracks individual emails, feature a 'one-touch-response' to notify the franchisee of customer interest in their product, and permits franchisees to copy content from other franchisee's newsletters in one easy step.

Buysmacs

A rapid purchasing system that allows franchisees to create their own categories, inventory and measures (jars, cartons, crates, boxes, packets, bottles, etc), rapidly build large orders and auto fax or email their purchase order to their supplier.

Nation-Wide Web Portal

An Australia-wide web portal built to create a presence for all franchisees. It features a postcode locator which allows the Master Franchisor to control the territory, rather than the client choosing from a list or map, and then auto-redirects the customer to the relevant franchisee's own website.

Individual Web Presence

Each franchisee has an individual web presence fully populated with data from each franchise system while retaining a look and feel consistent with the Grinners Catering brand. Customer enquiries automatically insert a new customer record into the quoting system and the franchisee can create a quote immediately from the customer enquiry.

Automated Surveys

Following each Grinners Catering function, customers are optionally se nt an automated survey with ratings specific to their catering function, individual dishes and overall service. The rating system produces a dashboard that allows the Master Franchisor to monitor the performance of individual franchises and creates a culture of improvement.
